Maintain a secure members-only directory (only if you consent)

Legal basis: We process your data on the basis of membership administration requirements and, where applicable, your consent (for example, directory listings, newsletters, and the use of photographs or video recordings).
Who we share it with: We do not sell your data. Limited information may be shared with trusted service providers (such as email or SMS platforms and payment processors) strictly for the purpose of supporting the Society’s operations. Access to such information is restricted to authorized officers and administrators.
Photos and recordings at events: Society events may be photographed or recorded for reporting and publicity purposes. You may opt out by notifying the organizers or by selecting “No” where an opt-out option is provided.
Data retention: We retain membership records for as long as you remain a member and for a reasonable period thereafter for audit, reporting, and dispute resolution purposes. After this period, the data will be securely deleted or anonymized where appropriate.
Your rights: You may request access to your personal data, request corrections, request deletion (where applicable), withdraw consent for optional uses, and update your communication preferences at any time.
Security: We implement organizational and technical safeguards to protect your information, including controlled access to membership records.
